Privacy Statement

Your privacy matters to us, and we handle your data with care. In this statement we explain in plain language which personal data we process, why, how long we keep it and what rights you have. We collect as little as possible: no tracking, no advertising cookies, and we never resell your data.

We are Voidtech Solutions OÜ (an Estonian private limited company / osaühing), known on this site as VoidTech Solutions. We are the data controller for the personal data processed through this website.

We deliberately work without a phone number: first contact goes through email, so we can handle your question calmly and carefully. Our clients are businesses (B2B), and because we are an EU company the GDPR applies in full.

What personal data we process

We only process the data you provide yourself when you get in touch or purchase something from us. Depending on what you do, this includes:

  • Contact form: your name, email address and the content of your message.
  • Booking an appointment: your name, email address and the time you choose.
  • Quote or order via the webshop: your name, email address and your company and billing details.
  • Payment details: these run through our payment provider Mollie. We do not store any card or bank details ourselves.

Purposes and legal basis

We only process your data when there is a valid legal basis under Article 6 of the GDPR:

  • Performance of the contract: to schedule your appointment, prepare a quote and deliver and manage your order and subscription.
  • Legal obligation: to keep our records and invoicing in order and to meet our tax obligations.
  • Legitimate interest: to answer your message, stay in touch with you and safeguard the security of our website and systems.
  • Consent: where applicable, for example when you give us explicit permission. You can withdraw that consent at any time.

How long we keep your data

We do not keep your data longer than necessary for the purpose for which we received it, or for as long as the law requires us to.

  • Invoices and administration: 7 years, due to the statutory tax retention period.
  • Contact and quote requests: no longer than needed to handle your question and, where relevant, to follow up on our contact.

Sharing with third parties

We never sell or rent your data to anyone. We do not use tracking or profiling. We only engage the processors we need to deliver our service:

  • Mollie: to handle payments securely.
  • Our own hosting: our website and email run on our own server infrastructure (VPS), not on a large cloud platform.

Beyond that, we only share your data if the law obliges us to.

Cookies and local storage

We do not use tracking or advertising cookies. The only storage on your device is a single functional localStorage key, vt_taal, which remembers whether you want to view the site in Dutch or English. Want to know more? Read our separate cookie statement.

Security

We take appropriate technical and organisational measures to protect your data against loss and unauthorised access. This includes encrypted connections, restricted access to systems and running on our own, well-maintained server infrastructure.

Your rights

Under the GDPR you have a number of rights regarding your personal data:

  • The right of access to the data we hold about you.
  • The right to rectification of inaccurate data.
  • The right to erasure of your data.
  • The right to restriction of processing.
  • The right to object to processing.
  • The right to data portability, meaning the transfer of your data.
  • The right to withdraw consent you have given.
